Custom Finals Week Schedule Design & Attendance System
MetWest High School offers a small-school setting and practice-based learning to the students of Oakland Unified School District (OUSD). It's unique curriculum requires custom day-to-day operations systems while maintaining integration with existing OUSD infrastructure.
Content and visual design for all outbound school communications. Visual design for conference presentations and administrative reports. High collaboration with staff, students to roll out process improvements.
Project management for new IT initiatives. Quality control and inspection of all attendance, scheduling, and grading entry into Microsoft Access. Tracked equipment maintenance and inventory management to prevent equipment shortages. Coordinated staff retreats.
Working directly with the school principal, I was in charge of overseeing day-to-day operations. This included using design thinking to determine where to make process improvements and provide process specifications. All systems — from staffing to food delivery and ad-hoc district reporting to parent communications — were under my purview; I actively solicited new technologies and designed new systems to effectively deliver on the promise of a high quality school experience.
Re-designed finals week class schedule to fulfill better dissemination of information and dynamically update records. Previously, all text entries were done by hand for a full week's worth of final presentations.

Consulting with the teachers led to the insight that students would like more ownership over the schedule. The idea of including presentation titles was agreed upon, and I provided a visual design that displays the presenter's name and their chosen title for each time slot in a clutterfree fashion.
I treated this schedule like a map that helps students know where to go. With this idea, I surfaced the "legend" as the primary method to orientate the students. The legend was integrated into one central bar of information and removed all repetitive information.
The calendar had to be seen from a distance so I increased the contrast by chosing softer background colors with a dark font color. In addition, the schedule had to be legible as a black & white printout — this saved costs associated with color printing. Finally, I included hues, saturations, and textures that were color-blind accessible.
A schedule prototype was created in excel to test how each report can by dynamically populated from one master worksheet. This prototype also showcased how the final system would operate while also eliminating duplicate, manual entry on each report . Using this prototype help me interally sell the new calendar system and obtain design feedback from staff and students.
